International IDEA’s stunning office building provided the setting for the delegates who could make it, while others joined the proceedings online via Zoom.
This high-tech event, co-organised by International IDEA and the INTER PARES programme, took place in Stockholm, as well as online via Zoom, from 20-22 June. In what’s known as a hybrid event, Avison provided the technical solutions and the interpreting team for the meetings, with all interpreting being provided remotely, but for delegates both in the room and online.
Avison was initially approached by International IDEA (International Institute for Democracy and Electoral Assistance), an inter-governmental organisation, headquartered in Sweden, that works with democracy practitioners and institutions spanning the globe. IDEA was organising the 3rd INTER PARES Steering Committee Meeting on 20-22 June in Stockholm. And with little time to spare, they needed our help to put together a hybrid event involving participants on site and online, with access to simultaneous interpreting between English, French and Spanish.
The task entailed providing a full hybrid solution. Our technical partner, who provides technical solutions in video and meeting technology, helped us put the event together, with a state-of-the art setup utilising cameras, microphones, speakers, screens, interpreting kits, loads of screens, cables and knobs, and online integration!
A team of six seasoned conference interpreters worked remotely to help the delegates to seamlessly communicate from their different locations around the world and on-site in Stockholm. Here you can see a recording of the live stream of day 3 of the event; the “Parliaments, Youth and Intergenerational Justice” Hybrid Workshop. The recording of the stream nicely demonstrates how our technical team were able to merge the online interventions with the room, using different remote-controlled cameras, and integrated Zoom, PowerPoint, and in-room footage (the interpreting can’t be heard on the recording as it was not recorded, but rather fed directly to delegates’ headsets).
Our technical team and our interpreters did a terrific job, and Ingrid Walker, Senior Programme Officer at INTER PARES commented that “from our side it was an absolute pleasure to work with Avison, the technicians, the interpreting team, as well as your photographer. We hope to be able to work together again, and we will definitely be happy to recommend your services to others.”
The hybrid nature of the meeting and the high level of tech also made life easier for our interpreters, with one of the team commenting that she “really enjoyed the assignment! And it was one of the best technically managed ever!”
